SUMMARY

The Front Desk Receptionist is, in many ways, the “first impression” of the company.  The position requires an individual who possesses a positive disposition, excellent communication skills, strong organizational skills, and is comfortable multi-tasking.  This position has dual accountability to the Office Manager and the Property Management Supervisor.  This position reports to the Human Resources Manager. The ability to prioritize down time is crucial in order to be able to effectively complete the property management support functions required of this job.



POSITION RESPONSIBILITIES

• Open the office at 7:45 am in preparation for the company to begin the day and close the office at the end of the day.

• Prepare kitchen, activate appropriate office equipment.

• Coordinate with the answering service to cover phones while office is closed

• Effectively operate phone system to coordinate incoming calls/ messages with the different departments within the company.

• Process and coordinate incoming and outgoing mail, in-house postage machine, and express shipping requests via Fed Ex

• Keep a schedule of conference room meetings when requested and prepare the room as necessary

• Order office supplies with respect to budget requirements.

• Complete intake of potential client, update Sales Call log, update as necessary.

• Attend weekly Sales Meetings

• Maintain LoopNet and Crexi listings, as well as eyde.com website.

• Provide administrative support to owners and sales team as requested

• Responsible for employee birthday cards.

• Accept rent payments via hand delivery and mail.

• Intake of Maintenance calls, forward to appropriate supervisor, follow up on Maintenance requests to ensure customer satisfaction, log calls on spreadsheet.

• Enter snow/salt logs (October-May).

• Track source of interest calls for sales and marketing leasing purposes.

• Organize bi-yearly property taxes for filing.

• Run credit checks for commercial leasing applicants.

• Distribute quarterly insurance inspections.

• Print/ save monthly rent rolls.


QUALIFICATIONS

• The position requires at least an Associate’s degree.

• At least two years’ experience in the same type of job position.



KNOWLEDGE/SKILLS/ABILITIES REQUIRED

• Excellent communications and customer service skills.

• Strong organizational skills.

• Ability to work well using Word and Excel and trainability in the company’s existing systems. 

• Ability to multi-task and work well with people.
