The Area Facilities Coordinator is a champion of Best-in-Class customer service for our tenants and future tenants, as well as a provider of amazing customer care by exceeding expectations positively and professionally. This team member supports and assists site teams in all aspects of Facilities and Maintenance including working on site as necessary and being phone available as needed. Responsible for leading and optimizing multiple functions of building operations and maintenance for a portfolio of multifamily communities.

Gillespie Group requires a background and drug screen as a condition of employment and passes required physical testing. A valid driving license, vehicle, and current automobile insurance are required.  The position requires individuals to furnish their own vehicle and basic tools to fulfill all the job’s functions.

RESPONSIBILITIES & PROJECTS

  • Implement and maintain Best-in-Class standards for customer service, curb appeal, work orders, unit turns and teamwork through inspections, training, and coaching
  •  Assist with Cap Ex-project identification, scope writing, budgeting, bidding, timely execution, and supervision of contractors during Cap Ex-Work. 
  •  Communicate information on project timelines, costs, and issues to the Director of Facilities, Regional Managers and site teams
  • Communicate with site teams, relay information from the home office, provide guidance as appropriate.
  • Coach and Train sites in establishing processes for: inventory, organization, PM and JIT maintenance, criteria for contractor use.
  • Participate in and assist with all Facilities Department training programs.
  • Training/onboarding  for new service team members
  • Customer service expert, work order expert and apartment turn expert.
  • Provide care and replacement guidance for all company equipment, irrigation systems, and building systems. 
  • Assist site teams in NSPIRE preparedness.
  • Reviewing, updating, and ensuring EPP plans are in place on sites.
  • Build vendor relationships.
  • Complete emergency repairs as required to prevent damage, deterioration, or unsafe conditions.
  • Ensure sites are OSHA compliant and all safety logs are updated per requirements.      
  • Other tasks as assigned by the Director of Facilities
Requirements

  

QUALIFICATIONS / ATTRIBUTES

  • High school diploma, general education degree or related Vocational Training and/or equivalent work experience. An undergraduate degree in facility management, engineering, business administration, or related field is preferred.
  • The ideal candidate will have 5+ years’ of experience in the facilities and/or maintenance industry. 
  •  Ability to hold third-party team members and contractors accountable to achieve their highest potential.
  •  Mechanical aptitude with good troubleshooting abilities as normally obtained through work experience or mechanical education classes.
  • Ability to manage and organize multiple projects, delegate, and prioritize to meet deadlines and budgets.
  • Building Automation System knowledge preferred
  • Read and understand blueprints and schematic plans.
  • Set project priorities to be highly organized in day-to-day and longer-term planning and execution, and track and maintain complex schedules effectively.
  • Communicate clearly and concisely, both orally and in writing. Use independent judgment and initiative to interpret and follow oral and written instructions with attentiveness to detail.
  • ·Proficient in all Microsoft Office applications including Word, Excel, and Outlook
  •  Assist with the efficient and lawful maintenance of official and confidential records and documents and discreetly handle confidential and sensitive matters; ability to maintain confidentiality.
  •  Comply with site safety and hazard communication standards. 
  • Ability to work with a sense of urgency.      
  • Capability of operating standard      tools
  • General basic knowledge of plumbing, appliance, mechanical, electrical, drywall repair, HVAC systems,      and carpentry experience is preferred.
  • Ability to display excellent customer service to internal and external customers.

Minimum Physical Expectations: 

  • · Physical activity that requires the ability to exert 25 to 50 lbs. of force frequently, and/or 10 to 20 lbs. consistently. 
  • · Physical activity that on occasion requires lifting or moving 100 lbs. or more. 
  • · Physical activity that requires the ability to frequently operate standard tools. 
  • · Physical activity that requires travel by car 
  • · Physical activity that requires the ability to stand, walk, sit, use hands and fingers, handle or feel, and reach with hands and arms. 
  • · Physical activity that requires the ability to frequently climb stairs, balance, stoop, kneel, crouch or crawl. 
  • · Specific vision abilities required include close vision, depth perception, and the ability to adjust and focus.  Must hear and speak well enough to conduct business over the telephone or face-to-face (in English) for periods of time.

Minimum Environmental Expectations: 

  • · This position will require working indoors as well as outdoors.
  • · This is an In Person role and will report to the property for work.
  • · This position could face very stressful situations from time to time.
  • · This position will require work outside typical workweek hours due to the emergency needs of the customer.
